Refunds and cancellations

Appointment fees are non-refundable. Rescheduling is free. This page explains both, and what happens in the one case where money does come back.

Fees are not refunded

Once an appointment is paid for, the fee is not returned — whether you cancel it, change your mind, or do not turn up. Please be sure of your date and branch before you pay. If your plans are not settled yet, reschedule rather than cancel: moving an appointment costs nothing.

What the fee is

Booking an appointment costs ₹100 per applicant, plus a submission fee at branches that charge one. The exact total for your booking is shown on screen before you pay, and is listed on the services and pricing page. All amounts are in Indian Rupees.

The fee reserves a consultant’s time in a fifteen-minute slot that nobody else can then book. That is what it pays for, and it is why it is not returned when the slot goes unused.

Rescheduling — free

You can move your appointment to any other free slot at the same branch, as many times as you need, at no cost. There is no fee to reschedule and no new payment to make.

Rescheduling closes 4 hours before your appointment starts. Up to that point, use the private link in your confirmation email. After it, the slot is treated as being about to happen and can no longer be changed online — call the branch.

Cancelling — no refund

You can cancel your appointment from the same link, up to the same 4 hours cut-off. Cancelling releases the slot so that somebody else can book it, which we would rather you did than simply not arrive.

Cancelling does not refund the fee. Nor does not turning up. If you may still need the appointment, move it instead — rescheduling is free and has no limit.

Payments that did not buy an appointment

This is the one case where money is returned, and it is not a refund of a fee — it is money we should never have been holding.

  • Your bank was debited but you have no confirmation. A payment can settle at the gateway while the booking fails at our end. If you have no confirmation email and no appointment, write to us — we will find the payment and return it in full.
  • You were charged twice for one appointment. The duplicate is returned in full.
  • We cancelled your appointment. If we close a branch, cannot honour a slot, or cancel an appointment for any reason of our own, the fee is returned in full.

A payment that fails or is abandoned partway is never charged in the first place — no appointment is created and no money is taken. If your bank shows a pending amount for an attempt like that, it is released by the bank, usually within a few working days.

How to ask, and how long it takes

Email karthik@travelvisaxperts.com with the date and approximate time of the payment, and your booking reference if you have one. If you never got a confirmation, say so — that is exactly the case above, and we can find the payment without a reference.

Where money is due back, we start the return within 3 working days of agreeing it. It reaches the account or card you paid from — never a different one — and how long the bank then takes is the bank’s; for UPI it is usually immediate, and for cards it can be 5 to 7 working days.

In short

  • Cancelled by you: no refund.
  • Did not turn up: no refund.
  • Rescheduled: free, no payment, no refund needed.
  • Charged with no appointment created: returned in full.
  • Charged twice: the duplicate is returned in full.
  • Cancelled by us: returned in full.
